What SpecSync is

SpecSync is a material pricing platform for commercial flooring subcontractors. Reps upload a takeoff and SpecSync groups the line items, sends grouped RFQs to your supplier list, and parses the pricing back from whatever the supplier sends.

PDFs, screenshots, replies in the email body, marked-up versions of your RFQ — SpecSync reads them all and populates each quoted price in your dashboard. Your job goes from chasing prices across a dozen email threads to reviewing and exporting.

Does SpecSync replace my estimating software?

No. SpecSync works alongside RFMS, Dancik, Pacific Solutions, Comp-U-Floor, and The EDGE. Those tools handle catalog management and bid assembly. SpecSync handles the supplier pricing loop they were not built for — the back-and-forth with reps and the manual data entry from PDFs.

Do I need IT approval or a procurement process to start?

No. There is nothing to approve. SpecSync is $2 per project with no monthly fee and no contract. Sign up with your work email, run your first project free, and go from there. No demo, no IT ticket, no sign-off required.

How does SpecSync handle suppliers who quote weird PDF formats or screenshots?

SpecSync reads PDFs, screenshots, typed prices in the email body, and marked-up versions of your RFQ. Anything the system is not confident about is flagged for you to review. The goal is review-and-confirm, not re-enter.

Is my pricing data private? Do suppliers see each other?

Yes, fully private. Each supplier only sees the RFQ sent to them and your relationship stays one-on-one. No supplier ever sees another supplier's response, pricing, or even that they were one of several quoted.

How long does it take to get set up?

What if a supplier does not reply?

SpecSync tracks every open RFQ and surfaces the ones still waiting on responses. You can resend, follow up, or call directly from the workspace. Nothing falls through the cracks the way it does in a Gmail thread.

Can multiple reps on my team use it?

Yes. Each rep gets their own seat. Supplier lists, RFQ templates, and bid history can be shared at the shop level when your team is ready, but reps can run their own books day one.
