SpecSync is a material pricing platform for commercial flooring subcontractors. Here is exactly what happens between the moment you receive a bid invite and the moment you submit.

Upload your takeoff.

You drop a takeoff into SpecSync the same way you would drop a file into Gmail. PDFs from your takeoff software, Excel sheets you built yourself, Bluebeam markups, scanned drawings — anything goes.

SpecSync reads the line items: product type, quantity, unit of measure, location, finish notes, alternates. It groups them by product category and by likely supplier. You can edit anything before moving on, but most of the time the system gets it right and you confirm in thirty seconds.

If your shop has a preferred supplier list, SpecSync remembers it. If different reps use different vendors for the same product, SpecSync handles that too.

SpecSync drafts and sends grouped RFQs.

For each supplier on the bid, SpecSync drafts an RFQ email containing only the line items relevant to that supplier. The email comes from your domain — your reps, your relationships — and reads like an email you would have written yourself.

You can review and edit every RFQ before it goes out. Or you can send them all in one click. Suppliers reply the way they always have: a PDF attachment, a screenshot of their internal pricing tool, prices typed in the email body, a marked-up version of your RFQ.

SpecSync reads every reply automatically.

This is the part that used to eat your week. As supplier replies come back, SpecSync reads them and matches each price to the right line item from your takeoff. Unit prices, freight, attic stock, lead times, alternates — all parsed and structured.

If a supplier sends back a PDF with their own line numbers, SpecSync maps them to yours. If a supplier replies with prices in the email body, SpecSync pulls them out. If a supplier marks up your RFQ and sends it back, SpecSync reads the markup.

Anything the system is not confident about gets flagged for human review. You confirm or fix in a few clicks. You never re-type a price.

Pricing writes into your bid.

SpecSync populates your bid with current supplier pricing, organized the way you organize bids. Best price per line item, alternates ready to swap in, lead times visible. You add margin, you adjust for project specifics, you submit.

What file formats can I upload as a takeoff?

Do RFQs go from my email address or from SpecSync?

From your email address. SpecSync connects to your Gmail or Outlook so suppliers see the same domain and rep name they have always seen. Your relationships do not change.

How does SpecSync read supplier replies that come in different formats?

SpecSync handles PDFs, screenshots, marked-up RFQs, and prices typed directly in the email body. It matches each price to the right line item from your takeoff. Anything it is not confident about gets flagged for you.

What happens to suppliers who do not reply?

Open RFQs are visible in your workspace with the date sent and the last reminder date. You can resend, follow up, or escalate to a phone call without leaving SpecSync.
